Migrating an existing Qualtrics account

If you already have a Qualtrics account, you may need to migrate your surveys and data across to the new University of Kent Qualtrics service at https://universityofkent.qualtrics.com/

If your department has an account, this may be closing sometime soon (where communications should go out at some point).

NOTE: None of the options provide a mechanism for migrating Collaborated surveys. Please refer to the “Collaborated Surveys” section for details on this and the additional steps you’ll need to take. 

No need for a new account with us?

If you do not need a new account, we recommend that you log into your old account and export your surveys and data.  For surveys, we recommend downloading as both QSF and Word format. You may also want to export any contact lists as well.

NOTE: If you have uploaded files/images to use in your surveys, you should also check your personal file library to preserve any files you want to keep along with your surveys. Unfortunately they don’t get automatically exported when exporting a survey!

If you’re a student, please check with your supervisor to see if there is any data or surveys they would need a copy of as part of your course or part of a studies. 

Migration options

IMPORTANT: If you have an account where you have uploaded your own images and files into your personal library and have embedded them in your surveys, you should contact Qualtrics Support directly. Manual moves will require you to download your library files individually, re-upload and re-link in your new set up.

Migrate your own surveys

If you have 10 simple surveys or less with not a large amount of custom images / files integrated, it is recommended that you carry out this manual process: 

  1. Log into your current account and export any surveys you wish to keep as QSF files
  2. You will also need to to export all of your response data for each survey 
  3. Create your new account if you haven’t already. Just log in with your Kent IT account details to automatically create your account. 
  4. We recommend that you only import the surveys you still need to run, and to archive off the other QSF files somewhere safe, such as OneDrive. This will help you manage your new account. 
  5. Follow these steps to import your QSF files
  6. And follow this guidance if you need to import your old responses into a survey that is still running  
  7. Alternatively you can merge your data sets from the old and new survey at a later date. Please ensure you:
    1. Check the following information regarding  Shared / Collaborated Surveys and Retain your Qualtrics survey URLs
    2. Images / files uploaded to your personal library for embedding in your survey will need to be manually exported and re-imported onto the new set up. 

Request Qualtrics migrate your account and surveys

If you have more than 10 surveys in your old account, you can still choose to do a manual migration, or you can request Qualtrics do the migration for you. 

NOTE: This can take up to 2-3 weeks in total. We recommend this option if you've been uploading images / files and integrating with your surveys.

Please also be aware of the following:

  • You will lose any email contacts unless you export them. 
  • Any surveys that were shared with you or that you shared will be unshared during the move. To get access, the surveys will need to be re-shared after the user move is complete. 
  • Any speciality software / tools, such as 360, EE, CX Dashboards, and SMS distributions will not transfer to your new account.
  • Any API integrations you've set up will probably need to be reformatted. 
  • Any text topics from Text iQ will not transfer to your new account. If you'd like to keep your text topics, you will need to export your topics from your old account and import them into your new account. 
  • Survey reports do not transfer in a user move. 
  • Workflows do not transfer in a user move (This is not the same as Survey Flows - these do transfer!)
  • Any surveys that are open will need to be closed before Qualtrics can complete the move, as active survey links do not transfer and can lead to respondents encountering errors during the move. 
  • You can only keep one account library (including graphics, messages, files, and surveys in your library), either from your old account on the original brand or your new account on the destination brand. You can check the Qualtrics account library overview page to find out more about what's included in your account library. 
  • If you choose this user move option, make sure you let Qualtrics know which account library you’d like to keep during the user move. Usually this will be your old personal library from the old account. This should automatically then update all your file links in your migrated surveys - but please check afterwards!

Make your Qualtrics migration request

Before you make a request, you must create your new account if you haven’t already. Just log in with your Kent credentials to automatically create your account. Don’t start using the account yet.

  1. Log on to https://universityofkent.qualtrics.com/ Don’t go to Qualtrics support directly, as you will not be able to log in from there
  2. Close any actively running surveys. Failing to do so may prevent your surveys from transferring.
  3. Click on the question mark ( ? ) XM Support icon in the top right corner.
  4. Click Contact Support 
  5. If prompted, click the University of Kent Uni wide option. 
  6. Click Get Technical Support > Survey Platform > Email 
  7. In the CC field, add fg30@kent.ac.uk (This is your Brand Administrator.) 
  8. In the subject line, add: User migration request and click Next 
  9. In Survey Link and What section are you working in, just put N/A 
  10. Note down your new username and old username, ready for the support message.  
  11. In Detailed description of issue, please add your request to migrate your account. Here's a sample request which you can copy and tweak:

    Dear Qualtrics Support,

    I need to migrate my old Qualtrics account from <OLD SURVEY WEB ADDRESS / URL> to <NEW SURVEY WEB ADDRESS / URL> 

    Please could you move <USERNAME FROM OLD ACCOUNT>, including all surveys and data across to <USERNAME FROM NEW ACCOUNT>

    Could you also move my default personal account library of files and images across from the old account to the new account and ensure the links in my surveys are updated to the new locations.

    Our Brand Administrator has been cc’d to oversee and give permission for this move. 

    Best wishes,
    <YOUR NAME HERE> 

    CC fg30@kent.ac.uk as your Brand Administrator.

  12. NOTE: If you have specific surveys that MUST keep the same URL as the old system, then these should retain the same URL once migrated, but we recommend that you specify any that you need to retain certain survey URLs within the support ticket, just to be safe. 
  13. Add any supporting files if you need to attach them, ignore the “Do you have any additional files you would like to upload?” question. 
  14. Click “Yes, I agree” to give Qualtrics permission to log into your Qualtrics account if necessary.
  15. Click “Submit”.
