Qualtrics help and support

For any questions regarding how to set up your survey and how to use Qualtrics' functionality, please refer to the Qualtrics support pages.
  1. Log on to https://universityofkent.qualtrics.com/  (Don’t go to Qualtrics support directly, as you will not be able to log in)
  2. Click on the question mark XM Support icon in the top right corner: 
  3. Click Contact Support (?)
  4. If prompted and presented to, click onto University of Kent Uni wide option. 
  5. Click Get Technical Support > Survey Platform > Email

XM Basecamp

XM Basecamp has a range of free / costed courses and certifications available

Log in with your Kent credentials, and follow these steps:

  1. Go to https://basecamp.qualtrics.com/
  2. Click Log In at the top right corner
  3. Click Qualtrics Credentials
  4. Click Sign in with SSO
  5. Enter universityofkent as the Organisation ID
  6. Enter your Kent credentials when prompted.
  7. You'll be redirected back and authenticated on Basecamp.

NOTE: Some courses/materials are costed.

Branding within your Division / School

Each Division comes with its own theme, with Divisional logo. Some Divisions also have other themes available for individual Schools. Every user should be only publishing surveys under the branding of the Division / group that it’s intended for.

For example, a Psychology student should be publishing surveys under the School of Psychology banner.

​​​​​​​If you find you’re not in the correct Division / School in Qualtrics, please contact IT and Library Support.

Sharing / Collaborating surveys and data access

If you need to share working on the same survey, or give access to response data, then you’ll need to share / collaborate your survey. ​​​​​​​   

NOTE: You’ll need to find an active Qualtrics account via the search function to be able to collaborate successfully. To share / collaborate with users with external accounts – you must add using the exact username of their external Qualtrics account.

Note to academics: If you’re working with other academics or students on a project, and need access to surveys / data when they have left, you may want to ensure that you are owner of the survey early on and collaborate with the users who need access. This can be done simply by being the person who creates the initial blank survey, and then collaborating with those who will be running the study. Please note: once a user's account is deleted, then data retrieval is not possible after 30 days.

Exporting your surveys and data before you leave and transferring ownership

When leaving the University, we recommend using the export tools to export your surveys and data to a suitable location. Qualtrics QSF files can then be imported by other users into their Qualtrics account if needed (though they will create a new survey with a new URL):

Transferring ownership of surveys and data - if a Qualtrics user is leaving the University, their account, surveys and data will eventually be deleted. You may wish to ensure that some surveys and data are retained. Please contact IT and Library Support to arrange transfers. This process will ensure that the surveys retain the same URL, though it is a last resort request due to the administration time involved.

Migrating your surveys from a different Qualtrics account to Kent

Unfortunately there isn’t a simple way of transferring your account and all its surveys from one Qualtrics system to another (such as the University of Kent).

Migrating your surveys from external systems

There are many survey-based tools online. Although unlikely, some may offer the option of exporting your survey to Qualtrics (QSF) format. If so, then you’ll potentially be able to transfer all your surveys from another system into the Kent Qualtrics system. However, these solutions are not perfect and may not include all functionality. You may have to re-create your surveys from scratch.
